• AI interactions: Anything you write to our AI characters is securely sent to Azure AI for processing, and evaluated by our self-hosted models to provide feedback and learning insights.
• Usage patterns: We use Microsoft Clarity and in-app tracking to understand which features are helpful, confusing, or unused—so we can keep improving the experience.
• Security data: We track login IP addresses to prevent spam and detect potential license misuse.

All data is stored securely in our private MySQL database, with access limited to authorized team members.

Security is built into every layer of Skillfully Said, from how our platform is coded to how access is managed. We take a proactive, multi-layered approach to protect your data from threats, breaches, and misuse.

Here’s what that looks like in practice:

• Encryption & secure transmission: All data is encrypted and transmitted over HTTPS. We also use Cloudflare to block threats and maintain platform stability.
• Private, monitored infrastructure: Our platform is hosted on Google Cloud Services, and databases are stored on secure infrastructure (Hetzner). Only authorized team members can access these systems, using strong credentials and two-factor authentication.
• Role-based access control: Only team members with a business need can access personal data. Admins assigned by client organizations can manage licenses but do not see individual learner responses or feedback.
• Privacy-aware analytics: Clients see only anonymized, aggregate usage reports—like completion rates or overall engagement trends—to help measure program effectiveness.
• Staff training & audits: Our team is regularly trained on privacy and data handling, and we run frequent security reviews using a combination of manual tests, automated scans, and third-party tools.
• Incident readiness: We have a response plan in place to act quickly in the event of a data incident, with processes for containment, notification, and resolution.

4. AI & Your Data Privacy

Our AI tools power the heart of Skillfully Said, creating realistic roleplay conversations and providing personalized coaching and feedback to help you grow as a leader.

How AI works with your data:

• Roleplay simulation: When you interact with AI characters, your text inputs are securely sent to Azure’s AI service to generate realistic responses.
• Personalized coaching: AI also helps offer guidance on specific leadership challenges, creating a tailored coaching experience.
• Performance evaluation: We use our own in-house AI model to evaluate your responses and provide detailed feedback based on leadership competencies and behaviors.

You will always see a link to this data privacy policy before signing in, so you know how your data is used. Because AI is central to Skillfully Said, using the platform means consenting to AI processing. However, you can request deletion of your data anytime.

We don’t retain your raw AI conversation data after your session ends—only the scores and feedback summaries are stored securely. These are kept separately from your personal identifying information, all protected by strict access controls and encryption.

Our AI models are developed with input from organizational psychologists and are carefully designed to minimize bias across different genders, languages, and cultures.

In line with GDPR best practices, we retain your learning data only as long as necessary to provide our services and comply with legal requirements. When you end your subscription, your data will be securely deleted within 60 days.
